PTA Meeting Minutes November 6, 2006 

The meeting was called to order at 3:10 pm with 9 members and 2 staff present. 

Treasurer’s Report:

The treasurer’s report was presented. As of October 23, 2006 the balance in the account was $4214.31.

Thanksgiving Dinner:

Student forms have been returned with food donation items listed, and a tally was compiled. Discussion followed and lists were made based on 120 guests for what food and dry good items will need to be purchased and who will be able to cook turkeys and make pies. Pie quantities were decided as follows: 8 chocoloate, 6 apple, 2 pumpkin

Marcia had collected gift cards from local supermarkets and stores, which were distributed to PTA volunteers. Once missing items are confirmed, Nancy or Marcia will contact people with the shopping cards to give them shopping lists.

Marcia can provide tables. Nancy and Beth offered back up transportation for them. Nancy will check on tablecloths. Historically the 3/4 classroom has decorated tablecloths.

It was confirmed that leftovers from the Thanksgiving dinner will be given to the needy in the community.

Fundraiser and Use of Funds:

The fundraiser netted $2148.33 for the school. $1074.16 of that will go into the enrichment fund. With existing money in that fund, the total is now $1439.74.

Discussion followed on how to distribute the enrichment funds this year. If applications are sent to classroom teachers only, there would be about $268 available for each teacher, and if the funds are distributed to classroom teachers and specials teachers, there would be about $134 for each teacher. After clarification on how the money can be spent (it can cover expenses that enrich the classroom experience that are not covered in the regular school budget), it was agreed to send out the applications to both classroom and specials teachers, with a deadline by which to apply. Any money left over after the deadline can be applied for in a second round.

Nancy also mentioned how the fundraising money was divided up among in other accounts:

  • Operating Funds - $322.25

  • Equipment and Capital Reserve Fund - $537.08

  • Field Trips - $214.84

The Playground fund currently has $856.32, which will go towards the cost of the swing set.

The fundraiser boxes are to be delivered on Tuesday, November 17, Election Day. A note went home today informing families that the packages are coming in.

Nancy added that, after Christmas we really need to talk about new ideas for fundraising. Some people are tired of this one. King Arthur Flour was one suggestion. She added that we will need to fill out a form indicating what the purpose is.

Craft Fair:

Lynne and Nancy will meet separately to discuss crafts. Funds raised at the craft fair will go toward 8 gift baskets for Marlow families, as was done last year. Dawn and Sharlene managed this last year and will do it again this year. The fair is set for Thursday, December 7 from 3:00-4:30 pm.

Other:

It was suggested that the PTA meetings be moved to evenings so that more people would be able to attend. Several people in attendance mentioned they would not be able to do nights, and that in the past, night meetings were not well attended. It was suggested that we send out a questionnaire to see if people interested in night meetings have things that they would like to contribute.
